UniTech Refresh the Parts Other Partners Can't Reach at Heineken

With the launch of the new marketing year looming the Brand Planning team needed to improve the way to collaborate and manage their marketing activities. Accessible, centralised and collective were the key drivers.

Requirement: To provide the 100+ team members with an online portal (anywhere, anytime access) offering centralised document sharing, team discussion forums, a shared learnings knowledge bank, executive announcements and a team calendar of critical milestones and deadlines. To be suitable to a very dispersed team the solution required automated alerts, notifications, document version control and fully secure access.

Solution: UniTech designed and delivered the Brand Planning Portal, within a tight timescale, using Microsoft SharePoint

Keeping things accessible, visible and simple was the formula for this win.

The primary requirement was to centralise shared documents and provide everyone in the team with secure web accessibility – no more Shared drives! A standard Document Library structure providing individual ‘shelves’ (or document stores) for reference material, previous years documents and current working documents was designed and implemented for each of the brands. The Brand Planning Portal functionality ensures only one version is maintained of every document (no more multiple names/versions or confusion), check-out/check-in ensures only one editor at any time, ‘Alerts’ provide push notifications when changes are made and new document material upload is a simple select-drag-drop-click process.

To create a better sharing culture, UniTech introduced some new ideas:

  • A Shared Learning forum where members can, at anytime, promote an idea, an insight, a win or just some new facts about the market or sector influencers
  • An ‘Ask a Question’ facility was enabled to provide members with a means to post urgent requests or just ask a ‘how do I?’ question. The automated facility notifies key managers to ensure a prompt response.
  • Prompts - the Management team required everyone to have visibility of the year ahead and to be aware of critical milestones, announcements and new events – UniTech introduced and deployed a single-screen, annual calendar, styled for Heineken, to ensure readability
  • A ‘Help’ document designed for members not familiar with web based technology and terminology such as; version control standards; check-in/check-out; optimising user experience and browser tuning - UniTech created a graphical HELP GUIDE to ensure accelerated learning and 24x7 assistance

The SharePoint based business solution was quick, effective and delivered immediate impact. Based on the UniTech FastTrackplus Methodology, the delivery from start to finish was a quarter of the expected time against their traditional approach to the start of a new year – and now they have an all –year round service: aahhh, refreshing.
